After you have chosen the date and booked the venue the next step to hosting an event is securing entertainment. Some dates fill up very quick. To ensure you have a quality service, book your Disc Jockey early. Your entertainment provider should be easily accessible by either email or phone. You should receive prompt and courteous service from the company. If at any point you do not feel like you are a priority, remember you have the ability to find another company - another advantage of booking in advance.
A budget is a very important thing to determine before you start to plan your event. You should have an idea of the cost of all the products/ services you potentially may be using. From there you look into different options of service providers and the importance of these items for your function. For example when decorating the hall people often look at elaborate center pieces, chair covers and other things that make the venue look nice. These items do look beautiful through meal time when everyone is sitting and enjoying their meal. However they are often costly if you are looking for impact generally speaking your money does not go too far. After mealtime when the lights go down and the party starts the beautiful center pieces are only a memory; you had maybe two hours of enjoyment out of them. Another thing you might want to consider is to speak to your disc jockey company about the lighting/ special effects they have to offer. For most functions the dance is the longest part of the evening usually 4-5 hours and often the most neglected part of the planning process. The lighting can give a romantic feeling with some white lights or you can have some multicolored lights which cast more of a party atmosphere. People might be more inclined to get up and dance with the lighting and it gives the guests who are seated something to look at even if they are not into dancing. A well planned event requires a seating plan that takes all aspects of the function into consideration. Avoid putting any tables close to the speakers. The music will need to be loud enough so it can be projected throughout the hall. This will upset guests sitting close as they cannot have a conversation. They will inevitably ask for the music to be turned down while the guest sitting at the other end of the hall will come up and ask for the music to be turned up because they cannot hear it. Try and seat elderly guests as far away from the speakers as possible. In some venues there is a permanent booth where the DJ will set up. In other venues you have the option of where to place the Disc Jockey as part of your floor plan. During the planning stages consider placing the disc jockey table close to the dance floor. This will assist with positioning the speakers for better sound control. The sound can be projected over the dance floor during mealtime where generally no one is sitting and can reach the other side of the hall with minimal interference of conversation. When the dancing starts you will have great coverage of the dance floor and the music will be positioned in the perfect place for the celebration. The Disc Jockey should also have an unobstructed view of the complete hall. This is important during both the formal speeches and during the dance. Often your DJ will interact with the crowd during the evening making announcements on the microphone and taking requests. When decorating your event save some money and avoid putting any accessories on the Disc Jockey's table. The equipment is large and the space is needed for working; decorations just get in the way. Do not use any confetti / glitter on this table. A piece could get stuck on a CD and might end up in a CD player, to avoid any problems keep these away from the Disc Jockey's set up area. | ||
